Glossary of Research Documentation Terms

Certificate of Analysis
A supporting record summarizing document identifiers, batch references, tests, acceptance criteria, and reported results.
Lot or batch number
A traceability reference used to connect documentation, labels, and internal records.
Acceptance criteria
Documented limits, ranges, or conditions used to compare reported results.
Retest date
A date used in some documentation workflows to indicate when review or retesting may be needed.
Safety Data Sheet
A document category that can describe hazards, handling precautions, storage, and emergency information.
Traceability
The ability to connect a material, lot reference, documentation record, and review history.
Specification
A documented description of expected identity, quality, or record attributes used for comparison.
Reference standard
A comparison reference named by a test method or documentation record.
Deviation
A difference from an expected process, criterion, or record condition that may need review.
Document control
A process for creating, reviewing, updating, storing, and retiring documents so users rely on current records.
Record retention
The practice of keeping documents and review notes for a defined period and in a retrievable format.
Intake log
An internal record that captures receipt date, material reference, storage note, documentation status, and open questions.
Storage note
A document field or support clarification describing storage expectations or references for internal logging.
Revision date
A date showing when a record or document version was issued, updated, or reviewed.
Source file
The original record, document, or screenshot saved before internal notes are written.
Support clarification
A written response used to resolve a missing, unclear, or conflicting document field.
Review status
A neutral status such as reviewed, clarification requested, or held pending record.

Use glossary terms consistently in intake logs, support requests, and internal review notes. Consistent terminology makes it easier to understand whether a question is about a document, a label, a storage note, or support routing.

Preferred Neutral Phrasing

Use document language

Prefer record, documentation, material reference, lot context, storage note, and support clarification.

Avoid outcome language

Do not turn documentation terms into health, body, benefit, or outcome statements.

Name the record type

Specify whether a question is about a COA, specification, SDS-style record, storage note, or support reply.

Keep uncertainty visible

Use clarification requested or held pending record instead of guessing at unclear documentation.
